Manage contract synchronization lists

Access through: Contract management > Contracts > Contract import & synchronization

In preparation for importing and synchronizing products in license contracts, you can create, change, and copy contract synchronization lists in Snow Optimizer for SAP® Software.

You have to create a license contract and an Excel file with the product data before you can synchronize products.

Create contract synchronization list and synchronize products

  1. Select Create.

  2. Enter the name and description for the new synchronization list.

  3. Select the license contract for the synchronization.

  4. To synchronize products with the license contract, do the following:

    a. Select Import from file.

    b. In the pop-up, select the Excel file and select Open.

    The products from the file are imported to the synchronization list. For each product, an entry is created and a product template is assigned in the Product column. For termination positions, the synchronization list entry to which the termination refers is specified in the Terminated row column.

    All entries that can be synchronized with the license contract have a New status. Entries that cannot be automatically assigned a product template or termination position have an Error status. You must assign these entries manually before they can be synchronized.

    c. To synchronize the synchronization list entries with the license contract, select Process.png.

    Successfully synchronized entries have a Synchronization status.

  5. Save.

Change contract synchronization list and update products

  1. Select the row of the synchronization list.

  2. Select Detail view.

  3. Select Switch to change mode.

  4. To update products in the license contract, do the following:

    a. Select Import from file.

    b. In the pop-up, select the Excel file and select Open.

    The products from the file are imported to the synchronization list. Existing products are updated and for each new product, an entry is created and a product template is assigned. For termination positions, the synchronization list entry to which the termination refers is specified.

    note

    Only the values in columns 8 to 12 are updated in a synchronization list.

    All entries that can be synchronized with the license contract have an Update or New status. Entries that cannot be automatically assigned a product template or termination position have an Error status. You must assign these entries manually before they can be synchronized.

    c. To synchronize the synchronization list entries with the license contract, select Process.png.

    Successfully synchronized entries have a Synchronization status.

  5. Save.

Copy contract synchronization list

  1. Select the row of the synchronization list.

  2. Select Copy1.png.

  3. Make the required changes.

  4. Save.
